Agreement to These Terms

These terms form a binding agreement between you and SYSTEMATE SOFTWARE SOLUTIONS PTE. LTD. The agreement begins when you first use the site or when a clerk accepts your device at the counter, whichever happens first. If you do not agree to these terms, please do not use the site and do not leave a device at the counter.

If you leave a device on behalf of another person, you confirm that you have authority to do so and that the owner accepts these terms. Where a company opens an account for its staff, the company is responsible for ensuring that its staff understand and follow these terms when they visit the counter.

The Company and the Counter

SYSTEMATE SOFTWARE SOLUTIONS PTE. LTD. is a company registered in Singapore. Its counter sits at 1 Rochor Canal Road, #02-86 Sim Lim Square, Singapore 188504, Singapore (SG). The company works in computer systems design and related professional, scientific and technical services, and it operates the counter as a single service point where intake slips, repair tickets and pickup notes are handled in one place.

References to the counter mean this physical service point. References to the site mean this website and every page served from it. References to staff mean the clerks, technicians and managers who work at the counter. You can reach the company by email at helpdesk@systematesoft.com or by telephone at +15597951315.

Use of This Website

You may read and browse this site for your own lawful purposes. You may print pages for your records or share links with others who need to find the counter. You may not copy the site in bulk, resell its content, mirror it on another domain or present it as your own work without written permission.

You agree not to interfere with the operation of the site. That includes attempts to gain unauthorised access, to overload the server, to inject malicious code or to scrape the site in a way that degrades service for others. We may restrict access where we reasonably believe a user is causing harm or is acting against the law.

The site is provided as a convenience. While we keep it accurate and available as far as we can, we do not promise that every page will always be reachable or free from typographical error. If you spot a mistake, please tell us so that we can fix it.

The Service Counter

The counter offers six services: Intake Slip Bays, Repair Ticket Runs, Pickup Note Desks, Diagnostic Windows, Data Migration Review Rounds and Handover Sittings. Each service is described on the services page of this site. The description on that page forms part of these terms and explains what you can expect at each station.

Counter hours are 9.30 to 18.30 Monday to Friday and 10.00 to 15.00 on Saturday. The counter is closed on Sundays and public holidays. Hours may change at short notice, and we will post any temporary change at the window or on this site. A visit outside the posted hours does not create an obligation on the company.

Services are offered subject to capacity. If the bench is full, a clerk may offer a later diagnostic window rather than accept a device immediately. We will never promise a completion time that the bench cannot meet, and we would rather tell you to return on another day than keep a device waiting without a plan.

Intake Slip Terms

When you hand over a device, a clerk writes an intake slip. The slip records what was handed over, the reported fault and your contact details. You are asked to check the slip before leaving the window. Once you sign the slip, the description on it is treated as accurate unless you ask for a correction at the time.

The slip is the basis for the repair ticket. If the description is incomplete, the ticket will be incomplete too, and the bench may need to contact you to confirm details that could have been settled in a minute. Please be precise about symptoms, about recent changes to the device and about anything you have already tried.

You keep a numbered stub that matches the slip. Please store it safely. The stub is the simplest way to identify your device if you call, and it lets a clerk find the record without asking you to describe the machine from memory.

Repair Ticket Work

The repair ticket records the work performed on your device. Technicians add notes as they test and repair. Where a fault is clear, the ticket lists the parts replaced and the tests passed. Where a fault is intermittent, the ticket notes the conditions under which it appeared and what was done to narrow it down.

Work is performed by technicians using reasonable skill and care. We follow the ticket. If a technician discovers that the fault differs from the description on the slip, the ticket is updated and the counter contacts you before changing the scope of the work. You may approve, decline or ask for a revised quotation in writing.

Some repairs involve parts that are old, discontinued or in short supply. Where a part cannot be obtained within a reasonable period, the counter will explain the options. You may then choose a compatible alternative, cancel the job or collect the device as it stands. No additional charge is made for a job that is cancelled because the agreed part cannot be supplied.

Diagnostic Windows

A diagnostic window is a booked period of bench time. When you accept a window, you agree that the device may be held for that period and that a technician will run the tests described at intake. The result is recorded on the ticket and shared with you by message or at the counter.

Diagnostic windows are estimates of bench time, not guarantees of a repair outcome. A diagnosis can reveal that a device cannot be repaired economically, that a part is unavailable or that the fault lies with a component outside the scope of the original slip. In those cases the ticket records the finding and the counter explains what can be done next.

If you miss a booked diagnostic window without notice, the slot may be released and offered to the next job. Please call or write as early as you can if you cannot make an appointment. We will do our best to find a new window that suits you.

Data Migration Review Rounds

Data migration is performed in reviewed rounds. Each round copies an agreed batch of files, compares counts and sizes and opens a sample to confirm integrity. The result of each round is written on the ticket. A round that fails is stopped and reported, and the next step is agreed with you before work continues.

You are responsible for telling us which files matter and for keeping an independent backup. No migration is a substitute for a backup. While we take care to copy correctly and to review each round, we cannot guarantee recovery of files that were already damaged before they reached the bench, and we cannot guarantee the contents of files we are not asked to open.

After a migration, the source drive is held for the period written on your pickup note. That holding period exists so that you can check the copy before the original is wiped or returned for recycling. If you ask us to wipe a drive, the request is recorded and confirmed at handover.

Pickup Notes and Storage

When work is complete, the device waits behind the pickup desk with a note that matches the repair ticket. The note lists the ticket number, the owner name, the completion date, the work performed and the accessories held. The note is printed in duplicate, and one copy stays with the counter register.

Devices are stored for a reasonable period after the pickup note is issued. During that period, we send a reminder by your preferred contact method. Storage is not indefinite. Where a device remains uncollected after the stated period and repeated reminders, we may treat it as abandoned property as described further below.

Accessories listed on the note are part of the record. Please bring the note or the stub when you collect. If you cannot come in person, tell the counter in advance who will collect on your behalf so that the record can be updated before the handover.

Handover Sittings

A handover sitting is the scheduled meeting where the device is powered on in front of you, checked against the ticket and released with a signature. The sitting is part of the service, not an optional extra. It is the point at which the work is examined together and the pickup note is signed.

If something is not right at handover, say so while the device is on the bench. Most issues are settled on the spot. Where a problem requires further work, a new ticket is opened and a fresh window is agreed. Signing the pickup note confirms that the device has been seen working and that the accessories have been counted back.

For design projects, the handover sitting includes a walk through of the delivered documents: the parts list, the test record and the maintenance notes. You receive a folder with these documents and a signed note. Keep them; they make future service faster and clearer.

Quotations, Fees and Payment

A quotation is given before chargeable work begins. The quotation describes the work and the price for that work. If the scope changes after the quotation, a revised quotation is issued and your approval is required before the extra work is performed. We do not add charges that you have not agreed to.

Payment is due at handover unless a different arrangement has been agreed in writing. We accept the payment methods posted at the counter. Invoices are issued for business customers on request. Prices are stated in Singapore dollars unless another currency is clearly marked.

If you do not collect a device after a completed job, storage charges may apply after the free holding period. Any such charge is notified in advance and recorded on the pickup note. We will always prefer to agree a solution with you rather than let a device sit and accrue charges.

Your Responsibilities

A good counter depends on good information. You agree to describe the fault honestly, to disclose any previous repair or modification, and to tell us if a device holds data that you cannot afford to lose. If a device has been opened elsewhere, tell the clerk so that the technician can plan for unfamiliar work.

  • Bring the correct power supply and any adapters the device needs.
  • Back up important files before leaving a device at the counter.
  • Remove or protect confidential files that are not needed for the job.
  • Keep your stub and pickup note, and bring them when you collect.
  • Tell us promptly if your contact details change.

You also agree not to ask us to perform work that would break the law or the rights of another person, such as bypassing a security measure on a device you do not own, or recovering data that you have no lawful right to hold.

Workmanship and Warranty

We stand behind our workmanship. Where a repair fails because of our work within the warranty period written on your pickup note, we will examine the device and put it right at no charge. The warranty covers the work we performed and the parts we supplied. It does not cover new faults, accidental damage, liquid damage after handover or work done by another party.

To make a warranty claim, bring the device and your pickup note to the counter and explain what has happened. A technician will inspect the device and record the finding. If the claim is valid, the repair is prioritised. If it is not, we will explain why and offer a quotation for any further work.

Parts supplied by a manufacturer may carry the manufacturer warranty instead of, or in addition to, our own. Where that is the case, the pickup note records it so that you know where to take a future claim.

Limitation of Liability

Nothing in these terms excludes liability for fraud, for death or personal injury caused by negligence, or for any other liability that cannot be excluded by law. Subject to that, the company limits its liability to the amount you paid for the service that gave rise to the claim.

We are not liable for loss of data where you did not keep a backup, for loss of profit or business opportunity, or for indirect losses that were not reasonably foreseeable when the job was accepted. Device repair always carries some risk, which is why we review migrations in rounds, record work on tickets and ask you to keep your own copy of important files.

Where a device fails for reasons unrelated to our work, such as a separate component failing soon after handover, we will help you diagnose the new fault but are not responsible for it. We will always be open about what our work did and did not touch.

Abandoned Property

A device becomes abandoned when it remains uncollected long after a pickup note is issued and repeated reminders have gone unanswered. Before we treat a device as abandoned, we will make reasonable attempts to contact you using the details on the slip, including at least two reminders over a suitable period.

If a device is abandoned, we may sell it or dispose of it in a lawful manner after settling any outstanding charges. We will keep records of the steps taken. Proceeds, after costs, are handled as the law requires. We would much rather return the device, so please contact the counter if you are delayed.

Devices that are hazardous, such as swollen batteries, may be handled according to safety rules even before the usual abandoned property period. In such a case you will be informed as soon as possible.

Intellectual Property

The content of this website, including text, layout, code and graphics, belongs to SYSTEMATE SOFTWARE SOLUTIONS PTE. LTD. or is used with permission. The brand name and the counter design are part of the company identity. You may not use them in a way that suggests endorsement or affiliation without written permission.

Documents that we prepare for a design project, such as a parts list or a test record, are supplied for your use in operating the delivered system. You may copy them for your business, but you may not resell them as a standalone product. Feedback you send us may be used to improve our services without obligation, unless we agree otherwise in writing.

Privacy and Personal Data

We handle personal information as described in our Privacy Policy, which is available at the privacy page of this site. The policy explains what we collect, how we use it, how long we keep it and the choices you have. It forms part of these terms, and by agreeing to these terms you acknowledge that you have had the chance to read it.

If you have a privacy question that is not answered by the policy, write to helpdesk@systematesoft.com. We take data questions seriously and will respond in a reasonable time. Please quote any relevant slip, ticket or pickup note number so that we can find your records quickly.

Suspension and Termination

We may decline or suspend service where a device appears to be stolen, where a request is unlawful, where a customer behaves abusively toward staff, or where a job cannot be performed safely. In such a case we will explain the reason where it is safe and lawful to do so, and we will return any device that is not subject to a legal hold.

You may end the agreement at any time by collecting your device and settling charges for work already done. Ending the agreement does not affect any right or duty that arose before it ended, such as the duty to pay for completed work or the survival of the limitation of liability.

Governing Law and Disputes

These terms are governed by the laws of Singapore. If a dispute arises, we ask you to contact the counter first so that we can try to resolve it directly. Most disagreements about a repair or a charge are settled in a short conversation once the ticket is in front of both parties.

If direct discussion does not resolve the matter, either party may bring the dispute to the courts of Singapore, which have exclusive jurisdiction. Where a consumer law gives you a right to a different forum, that right is not affected by this clause.

Changes to These Terms

We may update these terms from time to time. When we do, we will change the date at the top of the page. If a change is significant, we will add a notice at the counter for a reasonable period. The version in force when a job was accepted continues to govern that job unless a change is required by law.

If any part of these terms is found to be invalid, the rest continues to apply. A failure to enforce a term on one occasion is not a waiver of that term. These terms, together with the privacy policy and any quotation accepted for a job, form the whole agreement between you and the company for the matters they cover.

In short: we record work on slips and tickets, we tell you before charging for extra work, we ask you to keep a backup, and we stand behind our workmanship within the warranty period written on your pickup note.
